Crossroads seeks an Office Administrator! 

Position Overview:
The Office Administrator is responsible for the administrative and clerical tasks central to the
daily operations of Crossroads Foundation. This position plays a key support role for the
Development, Program, and Admissions staff. The Office Administrator is responsible for
managing business functions, supporting fundraising initiatives, coordinating program and
admissions activities. Core responsibilities include basic accounting, processing financial
transactions, maintaining accurate financial records, managing vendor relationships, and
managing a sublease relationship.
Working closely with development staff, the Office Administrator assists in clerical and financial
management tasks related to donor relations, event planning and advancement efforts. This
position will also support the program and admissions staff with communications, logistics, data
collection, and data entry.
Reporting Structure:
The Office Administrator reports directly to the Director of Development.

Primary Duties and Responsibilities:
Administrative Duties:
● Assist at meetings and events; ability to take and distribute meeting minutes, as well as
organize and update shared files
● Responsible for day to day operations of office functions including answering phone,
sorting mail, creating office schedules, master schedule, sick, personal, and vacation
record keeping, as needed
● Willingness to learn Partner4Work reporting guidelines, data entry, and maintaining all
mandatory granting obligations
● Perform general clerical duties to include but not limited to copying, mailings, filings,
distributions of electronic and written communications with internal constituencies (staff
and board members) and external constituencies (scholars, their families, school
administrators, donors, and vendors),
● Purchase office supplies and general supplies; manage vendor relations, arrange for
repair and maintenance of office equipment, manage IT needs of staff and schedule
service when needed
● Organize and coordinate internal events: i.e. board meetings, commitment meetings,
Christmas parties, summer picnic, etc.
● Support logistics for external events such as donor meetings, fundraisers, friend-raisers,
etc.

Financial Responsibilities:
● Process financial disbursements and requisitions for payment of expenses as authorized
by the Executive Director
● Maintain all financial records and reconcile monthly bank/credit card statements
according to established business practices
● Work with Bookminders to keep up the accounting system including filing invoices and
receipts
● Maintain business relationships Including those with landlord and sublessee and
interface with vendors; research and recommend purchases or contracts; ensure
accurate record keeping related to all business transactions
● Assist Development Department in processing donations in timely fashion including
database entry, completing paperwork and preparing deposits, creating and mailing
acknowledgement letters, and maintaining accurate records for the annual audit
Admissions and Program Support:
● Maintain all student files and pertinent records and forms including updating CRM with
new student and family information
● Work with parents/guardians to complete necessary paperwork, as well as answer
organizational inquiries via phone, email, etc.
● Review, organize, and circulate all completed applications during recruitment process
● Communicate with schools and families to ensure accurate and complete information is
submitted for review
● Assist with day to day logistics and administrative support for all programs, including
securing transportation, venue, food, supplies, purchases, etc.
● Work closely with Program Manager to plan for and implement programming details
Qualifications:
● Strong oral and written communication skills
● Ability to plan, organize, and prioritize work while managing multiple deadlines in a
continually changing work environment
● Some business or accounting experience; accuracy and attention to detail
● Able to take direction and follow through independently; able to multitask
● College degree or equivalent experience preferred
Knowledge, Skills, and Abilities:
The ideal candidate has a blend of the following:
● Flexible, organized, and adaptable self-starter
● Experience in general office responsibilities and procedures
● Computer skills including familiarity with Microsoft Office, Google Suites, and CRM
software
● Knowledge of principles and practices of basic bookkeeping, office management, and
organization
● Ability to work independently and as part of a team

● Ability to follow oral and written instructions with attention to detail and accuracy
Other Considerations:
The Office Administrator must have or obtain criminal and child abuse clearances and
other requirements as mandated by state and federal law. This is an in-person, on-site
position and reliable transportation is required.
Working Hours:
Full time exempt position with health benefits, includes weekdays with some evenings
and weekends. General hours are 9:00am-5:00pm (40 hours a week).
